Invoice reminder software for European freelancers: what to look for in 2026
Legal stages per country, real automation, import without switching tools, delivery tracking, EU hosting and honest pricing, with six tools compared on facts.
Invoice reminder software is a tool that tracks which invoices are overdue and sends payment reminders, usually in several stages, either on your command or on a schedule. Some invoicing suites include it; some tools do nothing else. This guide explains what to look for if you freelance in Europe, and compares six options on verified facts. Prices as of October 2026, excl. VAT.
What to look for.
Six criteria separate a reminder feature that works from one you will stop using after a month. Check them in this order.
Legal stages per country
A reminder in Germany, France or the Netherlands is not the same letter in three languages. Each country has its own stages, its own wording for putting a debtor in default and its own rules on statutory interest and fixed compensation under the EU Late Payment Directive. Templates should be written for the country of the client, not translated from one master.
Automation rules you control
Look for a schedule you can set per stage, sending on weekdays only, and the ability to pause a single invoice when the client calls. Click-to-generate reminders are not automation; they depend on you remembering.
Import without switching tools
Most invoicing suites only remind invoices created inside them. If your invoices come from Lexware, sevdesk, DATEV, a marketplace or a spreadsheet, you need CSV import or an API pull, or you will be re-typing invoices.
Delivery tracking
A reminder that bounced is a reminder that was never sent. The tool should show per message whether it was delivered, so the final stage can go by post if needed.
EU hosting
Client names, amounts and email addresses are personal data. EU hosting keeps the GDPR paperwork simple and is what many business clients ask about.
Pricing without lock-in
Watch for automation gated behind the top tier, paid add-ons, promo prices that rise after the first term, and 24-month contracts. Monthly cancellation is the honest default.
Six options compared.
The table covers only the reminder function. Lexware Office, sevdesk, easybill, Zoho Invoice and Invoice Ninja are full invoicing tools; Dunlio is built around reminders, imports invoices by CSV and writes simple PDF invoices, without bookkeeping.
| Tool | Price per month | Automated reminders | Reminds imported invoices | Country-specific stages |
|---|---|---|---|---|
| Dunlio | Free early access; Solo 9 €, Team 19 €, no contract | Yes, three stages, weekdays, manual or automatic | Yes (CSV) | Yes, 8 languages, EU hosting |
| Lexware Office | 7.90 to 32.90 €, reminders from the M plan (12.90 €) | No; partner add-on autoMahntion from 11.01 € | No | German only |
| sevdesk | 0 to 13.95 €, reminders from the Buchhaltung plan | No, click-to-generate | No | German only |
| easybill | 0 / 12 / 39 / 45 € | Premium plan only (45 €) | No | German only |
| Zoho Invoice | Free | Yes | No | Generic templates |
| Invoice Ninja | Free / Pro $14 / $18 | Yes, from Pro | No | Generic templates, German UI available |
A pattern shows across the German suites: scheduled reminders sit behind the top tier, an add-on or a partner plugin, and always require creating the invoice inside the tool. None of the six calculates statutory late-payment interest for you. If you already use Lexware or sevdesk, the guide Mahnwesen aus Lexware und sevdesk automatisieren shows how a CSV export feeds a separate reminder tool.
Frequently asked questions.
Can I send reminders without changing my invoicing tool?
Yes, with a standalone reminder tool that imports invoices. Dunlio takes a CSV export with invoice number, client, email, amount and due date and runs the stages from there; invoicing and accounting stay where they are. The invoicing suites in the table remind only invoices created inside them.
Is it legal to charge late fees in the EU?
Yes for business-to-business invoices. The EU Late Payment Directive, implemented in each member state, gives creditors statutory interest on overdue B2B invoices and a fixed compensation of at least 40 € per invoice once the debtor is in default. In Germany this is § 288 BGB with interest at 9 percentage points above the base rate for B2B. Rules for consumer clients are stricter and differ by country, so check the national rule before adding fees to a reminder.
How many reminders before legal action?
Legally, often none: in most EU countries a business client is in default 30 days after receiving the invoice, or on the due date if one was agreed. In practice three stages are customary, a friendly reminder, a formal reminder with a deadline, and a final notice that names the next step, such as a court payment order or a collection agency. The three stages exist to keep the relationship, not because the law requires them.
Do automatic reminders annoy clients?
Not if they are accurate and paced. What annoys clients is a reminder for an invoice they already paid, or three messages in a week. Mark payments promptly, keep at least a week between stages, send on weekdays, and pause an invoice when the client has replied. An automatic reminder sent on time reads as organised; a manual one sent six weeks late reads as an afterthought.
What does invoice reminder software cost?
As of October 2026, excl. VAT: free in Zoho Invoice and in the entry tiers of Invoice Ninja and easybill, though automation in those two starts at $14 and 45 € respectively. German accounting suites include manual reminders from 9.95 to 12.90 €, with automation as a partner add-on from 11.01 € in the case of Lexware Office. A standalone tool such as Dunlio is free during early access and then 9 € (Solo) or 19 € (Team) a month, cancellable monthly.
