SOFTWARE COMPARED
Payment reminder software for US freelancers: FreshBooks, QuickBooks, Wave, HoneyBook, Zoho Invoice and Dunlio compared
Six reminder options compared on verified October 2026 pricing and features, including where Dunlio is and is not the right pick.
Payment reminder software tracks which invoices are unpaid and emails the client at set intervals before and after the due date, so you do not have to remember. Most US freelancers already own some version of it inside their invoicing app: FreshBooks, QuickBooks Online, Wave, HoneyBook and Zoho Invoice all include reminders. Dunlio does nothing but reminders, for invoices from any tool. This guide compares the six on what they charge and what the reminders actually do, using the vendors’ own pricing and help pages as of October 2026, in US dollars, before promotions, and says plainly where Dunlio is the wrong choice.
What to look for.
- A schedule you control: how many reminders, how many days before and after the due date, and whether sending is automatic or released by hand.
- Reminders for the invoices you actually have. Most invoicing apps remind only invoices created inside them; if you bill from two tools or a spreadsheet, you need import.
- Staged wording. A reminder on day 2 and a final notice on day 30 should not be the same email with a different date.
- Late fees, if your contract has them, either calculated by the tool or at least referenced in the template.
- A stop switch per invoice for partial payments and disputes, and a delivery status so you know the email arrived.
- Pricing without a trap: promo rates that expire, plan tiers that gate the feature, and annual contracts.
Six tools compared.
The table covers only the reminder function. FreshBooks, QuickBooks Online, Wave, HoneyBook and Zoho Invoice are full invoicing suites that also remind; Dunlio started as a reminder tool and now writes simple PDF invoices too, without payments or bookkeeping. Prices as of October 2026, in US dollars, before promotions.

What each tool does with reminders.
FreshBooks
The most complete built-in option here: automated late payment reminders and scheduled late fees are on every paid plan, including Lite. The catch is the client cap, 5 billable clients on Lite and 50 on Plus, which pushes busier freelancers to Premium at $70. If your invoicing already lives in FreshBooks, there is little reason to add another tool.
QuickBooks Online
Reminders are an account-level setting: up to three per invoice, timed up to 90 days before or after the due date, with editable templates, according to Intuit’s help center. The schedule applies to every customer alike; per-customer rules need the Advanced plan’s workflows at $340. Automatic late fees are a separate setting with a grace period. Strong if you are already paying for QuickBooks, expensive if you are not.
Wave
Free invoicing with reminders unlocked by the Pro plan or by accepting payments through Wave, at fixed offsets of 3, 7 or 14 days. Wave states in its help center that it has no automatic late fee; you edit the invoice and add a line item. Good value if you take card or bank payments through Wave anyway.
HoneyBook
A client-management suite for creative and service businesses where invoices sit inside contracts and proposals. Reminders cover upcoming and outstanding payments, and late fees are a percentage capped at 10 percent applied 30 days after the due date. Priced for the whole suite, from $29 per month billed yearly, so it only makes sense if you want the scheduling, contracts and payments too.
Zoho Invoice
Free with three preloaded reminders you can time before or after the due date, within limits of 2 users, 3 projects and 500 invoices a year, with Zoho branding on the invoice. No late fee feature is documented for Zoho Invoice itself. For a freelancer with no invoicing tool yet, it is hard to argue against free.
Where Dunlio fits, and where it does not.
Dunlio was built for one case: you already invoice from somewhere, maybe from two somewheres, and you want the follow-up to run on its own without moving your invoicing. You export open invoices as CSV, import them, and three staged messages, friendly reminder, past due notice and final notice, go out on weekdays after the due date, either released by hand or automatically, each with a delivery status. The stages are written to say the right thing at each step, including the late fee your contract allows and the next step the final notice announces. There is no contract: early access is free, then Solo is $9 and Team $19 per month.
If you have no invoicing tool yet, Dunlio can write the invoice too: line items, sales tax per line, your logo, and a PDF your client receives by email, with the reminders already attached to it.
Where it is the wrong choice: Dunlio does not take payments, does no bookkeeping and does not calculate late fees. If your invoicing tool already reminds the way you want, you do not need it. If you want invoicing, payments and accounting in one login, pick one of the five suites above.
Frequently asked questions.
Can I send reminders without changing my invoicing software?
Yes, with a standalone reminder tool that imports invoices. Dunlio takes a CSV with the invoice number, client, email, amount and due date and runs the three stages from there; invoicing and payments stay where they are. The five invoicing suites in the table remind only invoices created inside them.
Is it legal to charge late fees on invoices?
Yes, if the client agreed to the fee in advance, in the contract or in accepted terms, and the fee is reasonable. There is no federal statutory interest for private business invoices. State usury and consumer-protection rules set the ceiling: for example, New York’s civil usury rate is 16 percent a year under General Obligations Law §5-501, and Texas caps interest at 10 percent a year unless another law allows more under Finance Code §302.001. Check your state’s usury statute; the late fees guide in our guides covers the rules and a clause to copy.
How many reminders should I send before a demand letter?
Three is the working standard: a friendly reminder a few days past due, a past due notice around day 10 to 15, and a final notice around day 30 that names the next step. Then a demand letter by certified mail with a 10 to 14 day deadline. No US law requires a set number of reminders; the three exist to keep the client and to build the written record a court or agency will want.
Do payment reminders hurt client relationships?
Not when they are accurate and paced. What damages a relationship is a reminder for an invoice the client already paid, or three messages in one week. Mark payments promptly, keep at least a week between stages, send on weekdays, and pause an invoice the moment the client replies with a question. A reminder sent on time reads as organized; one sent six weeks late reads as an afterthought.
What does payment reminder software cost?
as of October 2026, in US dollars, before promotions: free with Zoho Invoice and with Wave’s Starter plan when you accept payments through Wave; $19 per month for Wave Pro; $23 per month for FreshBooks Lite; $38 per month for QuickBooks Simple Start; from $29 per month billed yearly for HoneyBook. A standalone tool such as Dunlio is free during early access and then $9 (Solo) or $19 (Team) per month, cancellable monthly.
