What to put on an invoice

There is no federal invoice format in the US, but clients and accountants expect these details. Dunlio’s templates have a field for each one.

  • Your business name, address, email and phone
  • Your client’s name and billing address
  • A unique invoice number
  • The invoice date and the due date, such as Net 30
  • A description, quantity and rate for each item
  • The subtotal, sales tax where it applies, and the total due
  • How to pay, and late fee terms if your contract includes them

General information, not tax or legal advice. Sales tax rules depend on your state and on what you sell.

Questions about the invoice templates

Are the invoice templates free?
Yes. You can create, download and send invoices on the free plan. Paid plans add automatic reminders and more active invoices.
Can I add my logo and colors?
Yes. Upload your logo, choose one of four designs and pick an accent color. Every new invoice uses them.
How do I add sales tax?
Each line has its own tax rate, and the invoice shows tax per rate. Leave the rate at zero for services that aren’t taxable in your state.
Can I send the invoice by email?
Yes. Dunlio emails the invoice to your client with the PDF attached, and the same PDF can go with later reminders.
Can I add late fees?
Write your late fee terms into the payment terms on the invoice. Dunlio’s reminders can mention them, and the free calculator helps you work out the amount.
